Where does the information for the chatbot come from?

The information from which the chatbot draws its knowledge comes from documents from your school. These documents are provided by you. We have a list of “standard” information that can serve as inspiration for the compilation and can also import generic information such as vacation times, etc. directly. If required, we will provide you with an appropriate platform for storing the documents, which you can use to change and add to the information.

How do I optimize the quality of the chatbot’s responses?

The more information your chatbot is provided with, the better it can answer incoming requests. On request, we can record the questions asked and answers given so that you can carry out a “quality check”. This allows you to recognize requests that have been answered incorrectly or inadequately and update the information accordingly. The chatbot then learns these immediately.

What are the costs for setting up and using a chatbot?

Hosting your own chatbot and automated information retrieval costs €9 net per month. This includes a fair-use quota of AI queries (approx. 100 queries per month), which is sufficient for normal use of the chatbot. If the chatbot is used excessively, additional fees may be incurred for further AI queries.
The costs for the setup and initial training of your chatbot depend on the scope and the documents available from your school. We divide these into static content (which rarely changes), periodic content (can change every school year) and dynamic content (changes frequently, e.g. letters to parents, etc.). They are given access to an area in which they can adapt and add to the changes. The chatbot retrieves the information there daily and learns the content.
As an average value, you can expect to pay around €250 to €500 net for the initial setup of your chatbot. This includes the consultation and initial setup as well as two optimizations of the chatbot’s information sources.

You can also operate the chatbot on your own server system. In this case, there are no hosting fees. We will be happy to advise you individually on this option.
